Job Duties
As an Administrative Assistant II you will assist in all office policies of an organization. These responsibilities could range from handling human resources to buying office equipment. Must be able to run an office smoothly while overseeing various administrative functions. An Administrative Assistant II performs duties while adhering to the organization's values and principles
Job Responsibilities may include (but are not limited to) the following:
- Incorporate all duties and responsibilities of Administrative Assistant I.
- Manage and maintain executives’ schedules
- Organize and schedule appointments.
- May plan meetings and take detailed minutes.
- May write and distribute email, correspondence memos, letters, faxes and forms.
- May assist in the preparation of regularly scheduled reports.
- May assist with updating and maintaining office policies and procedures.
- Responsible for the upkeep of the Employee Resource Room.
- May arrange for travel arrangements or hotel accommodations.
- Act as the point of contact for internal and external clients.
- Assist with inducting new employees, give them training, explains new recruitments about their job responsibilities and informs them about office rules.
- May assist in various departments such as: accounting, purchasing, estimating and quality.
- Will assist in customer service.
- May run routine office errands.
- Respects confidentiality in discussing staff and company matters.
- Maintain appropriate interpersonal relationships with employees, peers, and customers.
- Reports to work regularly and on time.
- Assists in other duties as needed and directed.
- Always project a positive and can-do attitude when in the presence of your team members.
- Consistently displays a sense of urgency in meeting all deadlines and goals, keeping in mind that quality and timeliness are of paramount importance to management and our customers.
- Maintains safe and clean work environment by keeping shelves and work stations neat. Organize work area for orderliness at all times.
- Abides by all Company safety and health policies and procedures. Must use personal protective equipment if required.
- Aware of and conforms to ISO goals and objectives, and supports company ISO requirements.
- Aware of and actively participates in company’s continuous improvement philosophy.
- May be asked to perform other duties at a lower level or higher level of proficiency
- Follows approved work instructions.
- Be ready and willing for anything that needs to be done.
- Strive for further training and advancement in company.
- Being punctual and good attendance is required.
- Follow all company policies regarding safety and hazardous material handling.
- Must be willing to work alternate shifts as required by work center load or customer needs (shifts: day, swing, graveyard, and weekend).

Job Requirements
Experience/Knowledge Requirements:
- Must have 5+ years of strong office support experience. Associate's Degree (or equivalent) in Administration or a related field, BS degree, preferred
- Accurate filing and data entry skills
- Ability to interpret verbiage into letters
- Able to exude a very professional and polished demeanor
- Able to handle and maintain confidential information
- Experience with scheduling calendar appointments and travel arrangements
- Experience with calendaring, taking meeting minutes, creating reports, completing expense reports, and coordinating projects
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
